  • Seattle, WA

Job Description

ABOUT THIS ROLE

Logic is seeking an organized and detail-oriented Document Control Specialist to support a large transit authority in the Seattle area. In this role, you will maintain, organize, store, and retrieve the project and administrative documents behind a portfolio of transit capital projects. You’ll make sure the records project teams rely on are accurate, current, and easy to find. This is a great opportunity for candidates with 2+ years of experience who want to build a career in document control within the transit and infrastructure industry. You will work closely with project managers, engineers, project controls staff, and administrative teams. This is a hybrid role with regular onsite work required in the Seattle area.

KEY RESPONSIBILITIES

  • Maintain, organize, store, and retrieve project and administrative documents in both electronic and physical filing systems.
  • Intake, log, and index incoming documents (e.g., drawings, specifications, contracts, correspondence, meeting minutes) according to established naming conventions and filing standards.
  • Apply version control to documents so that teams always work from the most current approved revisions.
  • Track and distribute transmittals, submittals, and RFIs to the appropriate stakeholders, and keep accurate records of reviews, responses, and approvals.
  • Review documents for completeness, accuracy, and compliance with project document control procedures.
  • Maintain document registers, logs, and tracking reports, and provide status updates to project leadership as requested.
  • Respond to document retrieval requests from project team members promptly and accurately.
  • Support audits, inspections, and records requests by gathering and preparing the required documentation.
  • Archive closed or superseded records according to the agency’s records retention requirements.
  • Protect confidential and sensitive information by following access controls and security protocols.
  • Help improve document control workflows, templates, and filing structures as the program grows.
  • Perform other administrative and document control duties as assigned in support of the broader project team.

REQUIRED QUALIFICATIONS

  • Bachelor’s degree or Associate’s degree (2 years) preferred in Business Administration, Information Management, Construction Management, or a related field — or an equivalent combination of education and experience.
  • 2+ years of experience in document control, records management, or project administrative support.
  • Proficiency in Microsoft 365 (Excel, Word, Outlook, Teams).
  • Experience working with electronic document management systems and shared file structures.
  • Strong attention to detail and accuracy in managing large volumes of documents.
  • Excellent organizational and time management skills, with the ability to handle multiple priorities.
  • Clear written and verbal communication skills.
  • Ability to work onsite in the Seattle area on a regular hybrid schedule.

PREFERRED QUALIFICATIONS

  • Prior transit experience preferred, but not required.
  • Experience supporting construction or infrastructure capital projects is a plus.
  • Familiarity with document management or construction platforms (e.g., SharePoint, Bluebeam, Aconex, e-Builder) preferred.
  • Knowledge of construction documentation such as drawings, submittals, RFIs, and transmittals is a plus.
  • Familiarity with public agency records retention and recordkeeping practices preferred.
